IPSAC Privacy Policy

Member's Consent
A Member's consent to the Club using their personal data as outlined below is recorded on the electronic database and indicated by a GDPR tick box in the MyDetails section of the IPSAC Member website. A Member may remove their consent at any time by updating their profile and un‐ticking this box. This will result in their email address being removed from the IPSAC Email List and access to the IPSAC website being revoked (as a valid email address is required for a member to sign in and to use the online booking system).

What personal data do we use?
We use Member's personal data as entered on the BSAC Membership form.

All IPSAC members are asked to register on the IPSAC website and are sent a unique user‐id and password in order to log in and complete their registration.

Registration involves entering a name, phone number and email address (for diving members, also provide emergency contact details), which are then stored electronically.

Who can access the data and what for?
The IPSAC Committee has access to the personal information entered during registration.
Your contact details are used by the Membership Secretary to contact you regarding your membership of both IPSAC and BSAC.
All Committee Members can access the 'Emergency Contact' information stored electronically in case of any diving related emergency.

All IPSAC Members have access to the IPSAC Email List (the Member Dashboard includes a button to create a new email to all members).

The IPSAC Email List is also used to keep members informed of club news, diving and social events. Email addresses are also used within the Dive Booking area of the website, assisting the Dive Co-Ordinators in the organisation of a dive trip.

It is possible to opt out of the above Email List (see Members Consent section at the top), but please be aware that this also removes access to the Member section of the website as a valid email address is required for a member to sign in and to use the online booking system.

How long do we keep the data?
Member's personal data is held as long as that person is an IPSAC member. If membership is not renewed, all personal data held electronically will be deleted 6 months after the renewal date. All membership related paperwork is archived for 6 years then destroyed.

How do we keep the data safe?
BSAC membership forms are held by the Membership Secretary and are stored securely.

The member data stored in the electronic database is password protected. The database and website are hosted by a hosting company who are GDPR compliant. Personal data is never passed on to any third party unless required by law.

Data Breaches
All Members will be notified should IPSAC become aware that any email addresses as stored on the electronic database have become compromised.
